Education & coaching
WhatsApp for education and coaching.
Students and parents already message you on WhatsApp. Turn admission enquiries into counselling sessions, remind them about demo classes, and send notices to parents from one number your whole team can use.
What does Baat do for schools, colleges and coaching institutes?
For schools, colleges and coaching institutes, Baat runs admissions and parent communication on WhatsApp. Enquiries from ads and the website get an instant reply and a short form inside the chat. Counsellors follow up from a shared inbox. Demo-class reminders and notices to parents go out automatically, to the families who agreed to receive them.
Admission season brings hundreds of enquiries in a few weeks, from ads, websites, education portals and walk-ins. Counsellors call back in the order they find the leads, so the student who asked first often hears last. Demo classes are booked and forgotten. After admission, notices about timetables, exams, holidays and fees go out through personal WhatsApp groups, where parents' numbers are visible to everyone and replies get lost among dozens of "ok" messages.
How do schools, colleges and coaching institutes use WhatsApp?
Each of these runs on Baat today. Open one to see how it works.
Use case
Reply to admission enquiries straight away
Every enquiry gets a first reply with course details and a question about the class or exam the student is preparing for. Follow-ups continue until the family replies or books a visit.
Guide
Collect enquiry details with a form in the chat
A WhatsApp Flow asks for the student's class, course and preferred batch timing inside the chat. The answers reach the counsellor, who calls with the right information.
Use case
Remind students about demo classes
Confirm the demo class with the date, time and centre address, then remind the student the day before. A student who cannot come replies to choose another batch.
Use case
Welcome new students and parents
After admission, a short series of messages shares the timetable, the first-day details and who to contact, so the office does not answer the same questions fifty times.

Send notices only to parents who opted in
Exam dates, holidays and fee due dates go out as broadcasts to parents who agreed to receive them. Numbers stay private, and replies reach the office, not a group.
Example conversation
An enquiry that becomes a demo class.
A parent asks about a course in the evening. They get an answer and a demo-class slot before the counsellor's next working day begins.
- Journey Builder: First replies, follow-ups and demo reminders run on their own, even during the busiest weeks of admission season.
- Shared Inbox: Counsellors share one number. Each enquiry is assigned to one counsellor, and the head of admissions sees them all.
- Broadcasts: Notices go to the parents who opted in, segmented by class, batch or centre, with no numbers shown to other parents.

- Hi, do you have JEE coaching batches for class 11 students? 8:40 PM
- Hello Kavita. Yes, we have weekday evening and weekend batches for class 11. Would your child like to attend a free demo class first? 8:41 PM
- Yes, the weekend batch would be better. 8:47 PM
- The next weekend demo class is on Saturday at 10 AM at our Andheri centre. Shall I book it? A counsellor will also call you tomorrow. 8:48 PM
An example. The people in it are made up.
Automation
Every enquiry gets a follow-up.
A journey starts when an enquiry arrives. It replies at once, collects the details, offers a demo class and follows up if the family goes quiet. Counsellors take over once the family replies.
- New enquiry from an ad, portal or website
- Send course details and a short enquiry form
- Offer a demo class slot
- Wait two days for a reply

Why do admissions teams move to WhatsApp?
Because families compare options quickly, and the institute that answers first is the one they visit. A parent who sends an enquiry at nine at night expects an answer that evening, not a call two days later. WhatsApp lets you reply at once, even when nobody is in the office, and lets the parent answer when it suits them.
It also keeps the conversation in writing. Course fees, batch timings and the centre address stay in one thread, which the family can show to the student or forward to a relative.
How should an institute handle enquiries in admission season?
Reply to every enquiry within minutes, with an automated first message. Collect the few details a counsellor needs, such as class, course and preferred timing, with a short form inside the chat. Then offer the next step, which is usually a demo class or a campus visit.
Assign each enquiry to one counsellor. With a shared inbox, the head of admissions can see which enquiries have had no reply, and nobody calls the same family twice.
Are WhatsApp groups a good way to reach parents?
Groups are easy to start but hard to run. Every parent can see every other parent’s number. Replies bury the notice. When a teacher leaves, the group often goes with them.
A broadcast from the institute’s own number sends each parent the notice privately. Replies come to the office, where one person can answer them. Send broadcasts only to parents who agreed to receive messages from you, and say clearly what kind of messages they will get.
What about fee reminders?
A fee reminder is a notice, not a demand. Tell parents the amount, the due date and how to pay, from the institute’s own number, to parents who opted in. Meta’s policy does not allow WhatsApp to be used for debt collection, so keep the tone of a helpful reminder from the office.
Questions schools, colleges and coaching institutes ask about WhatsApp
Can our counsellors share one WhatsApp number?
Yes. All counsellors work from one number in the Baat shared inbox, on the web or on the mobile apps. Each enquiry is assigned to one counsellor, and the head of admissions can see every conversation.
Is a broadcast better than a WhatsApp group for parent notices?
For notices, usually yes. In a broadcast each parent gets the message privately, numbers are not shown to other parents, and replies come to the office rather than to the whole group. Send only to parents who agreed to receive messages.
Can we remind parents about fee due dates?
Yes, as a notice from the institute to parents who opted in, such as the due date and how to pay. Keep the tone of a reminder from the office. Meta's policy does not allow WhatsApp to be used for debt collection.
Can students fill in an enquiry form on WhatsApp?
Yes. A WhatsApp Flow shows a short form inside the chat, for example class, course and preferred batch. The answers reach your team without the student opening a website.
Do we need a new phone number?
No. If your office already uses the WhatsApp Business app, Baat supports coexistence onboarding, so the number keeps working on the app and keeps its chat history while it is also connected to the API.
