PG, hostels & co-living
WhatsApp for PGs, hostels and co-living.
Students and young professionals look for rooms on WhatsApp, and residents report problems on WhatsApp. Answer every room enquiry, book visits, welcome new residents, send house notices and track repair requests from one number.
What does Baat do for PG, hostel and co-living operators?
For PG, hostel and co-living operators, Baat runs resident communication on one WhatsApp number. Room enquiries get photos and details in the chat, property visits get reminders, new residents get a welcome with the house rules, notices reach every resident at once, and maintenance requests are tracked to the right person in a shared inbox.
A PG or hostel owner's phone never stops. Prospective residents ask the same questions about rent, food and distance from the college or office. Current residents report a broken geyser in a WhatsApp group, where the message is lost under fifty others. Notices about water timings or festival closures go out in that same group, with every resident's number visible to everyone. When the warden changes, the history of every request goes with the old warden's phone.
How do PG, hostel and co-living operators use WhatsApp?
Each of these runs on Baat today. Open one to see how it works.
Guide
Answer room enquiries with photos and details
Send room photos, sharing options, what is included and the location pin in the chat. Prospective residents get everything in one thread they can share with their family.
Use case
Book property visits and remind visitors
Confirm the visit with the date, time and address, then remind the visitor on the day. Someone who cannot come replies to move it.
Use case
Welcome new residents with the house rules
A short series of messages after move-in shares the house rules, meal timings, Wi-Fi details and who to contact, so the warden does not repeat them to every new resident.
Guide
Send house notices to every resident
Schedule notices about water timings, cleaning days, rent due dates and festival closures as broadcasts. Each resident gets the notice privately, and replies come to the office.
Use case
Track maintenance requests to the right person
Repair requests are assigned to the warden or the maintenance staff for that property, and stay open until someone closes them. Nothing is lost in a group chat.
Example conversation
A repair request that does not get lost.
A resident reports a problem by message, gets a confirmation, and hears back when it is fixed. The request is assigned to one person from start to finish.
- Shared Inbox: Wardens and office staff across properties share one number, and every request stays on record when staff change.
- Broadcasts: Notices reach every resident privately, segmented by property or floor, with no phone numbers shown to other residents.
- Journey Builder: Repair forms, confirmations and welcome messages run on their own, without the warden typing them each time.

- Hi, the geyser in room 204 is not working since morning. 8:20 AM
- Sorry about that, Karthik. We have logged it for room 204, and the maintenance person will check it by 11 AM today. 8:22 AM
- The geyser in room 204 has been repaired. Please reply here if there is still a problem. 11:40 AM

Automation
Repair requests run themselves.
A journey starts when a resident writes "repair". It sends a short form for the room and the problem, confirms the request, and alerts the warden if the resident marks it urgent.
- Resident writes "repair" on WhatsApp
- Send the form for room number and problem
- Resident submits the request
- Confirm the request has been logged

Why should a PG or hostel move off WhatsApp groups?
Groups are easy to start, but they mix everything together. A repair request, a complaint, a notice about water timings and a birthday message all land in the same stream, and the important ones get buried. Every resident can see every other resident’s number. When the warden who created the group leaves, the group often leaves with them.
A shared business number keeps the same convenience for residents. They still send a WhatsApp message. But notices go to each resident privately, requests are assigned to one person, and the history stays with the property, not with a phone.
How should room enquiries be handled?
Answer quickly and completely. Most enquiries ask the same things: rent, sharing options, food, distance from a college or office, and whether there is a curfew. Send photos, a short description and the location pin in one reply, and offer a visit. Parents often decide alongside the student, so a single thread they can forward helps.
What should new residents receive?
A short welcome series after move-in: house rules, meal and gate timings, Wi-Fi details, the warden’s hours, and how to report a problem. Spread over the first few days, it answers the questions every new resident asks, without the warden repeating them each time.
How do maintenance requests work?
A resident writes to the property’s number. A short form inside the chat asks for the room number and the problem. The request is assigned to the warden or maintenance staff for that property, and stays open until someone closes it. The resident gets a message when it is fixed, and the owner can see which requests have been waiting longest.
How should rent reminders be written?
As a notice, not a demand. Send residents who opted in the amount, the due date and how to pay, a few days before rent is due. Keep the tone of a helpful reminder from the office. If a resident has a problem paying, let the owner or manager talk to them directly.
What do WhatsApp's rules mean for PG, hostel and co-living operators?
- Meta's policy lists debt collection among prohibited services. A rent due-date notice from your own business to your own residents is a routine notice, so keep its tone that way. Never write like a collection agency.
- Do not ask residents to send Aadhaar or other ID card numbers, or bank account or card numbers, over WhatsApp. Meta's policy does not allow it. Collect documents for verification at move-in.
- Meta's Commerce Policies do not allow services, including hotel accommodation, to be offered through catalogues on the WhatsApp Business Platform. Share room details in the conversation rather than listing rooms in a catalogue.
- Message only residents and prospects who agreed to receive WhatsApp messages from you. Notices for current residents are expected. Offers to past enquiries need their opt-in.

Questions PG, hostel and co-living operators ask about WhatsApp
Is a broadcast better than a WhatsApp group for residents?
For notices, usually yes. Each resident gets the notice privately, no numbers are shown to other residents, and replies come to the office. Repair requests do not get lost under other messages.
Can we remind residents when rent is due?
Yes, as a notice from your business to residents who agreed to receive WhatsApp messages, with the amount, the due date and how to pay. Keep the tone of a reminder. Meta's policy does not allow WhatsApp to be used for debt collection.
Can we collect Aadhaar for police verification on WhatsApp?
No. Meta's policy does not allow businesses to ask people to share ID card numbers on WhatsApp. Collect verification documents in person at move-in, or through your own secure process.
Can several properties share one WhatsApp number?
Yes. Conversations can be assigned to the warden or staff of each property, and the owner can see every open request across all of them. Staff can reply from the Baat mobile app.
Can prospective residents see rooms before visiting?
Yes. Send photos, a short video and the location pin in the chat. Prospective residents can share the thread with their family before deciding to visit.
