Events & weddings

WhatsApp for events and weddings.

Guests read WhatsApp, not email. Collect RSVPs with a form in the chat, send schedules and venue directions, answer guest questions on the day from one shared number, and thank everyone afterwards.

What does Baat do for event organisers and wedding planners?

For event organisers and wedding planners, Baat runs guest communication on one WhatsApp number. Guests RSVP with a short form inside the chat, schedules, venue pins and passes are sent as messages and documents, updates go to every guest who opted in, the team answers questions from a shared inbox, and a thank-you and feedback request follows the event.

Event communication is a burst of chaos. Invitations go out on several channels, and RSVPs come back as calls, texts and messages to different people, so nobody has a reliable headcount. Guests ask the same questions about timings, parking and dress code, and the planner's phone rings all day. Last-minute changes, such as a new venue gate or a delayed start, never reach everyone. After the event, nobody thanks the guests or asks how it went.

How do event organisers and wedding planners use WhatsApp?

Each of these runs on Baat today. Open one to see how it works.

  • Guide

Collect RSVPs with a form in the chat

A WhatsApp Flow asks the guest whether they are coming, how many people, and any meal preference, inside the chat. Every answer reaches one list, so the headcount is reliable.

  • Product

Send updates to every guest who opted in

Schedules, timing changes and day-of announcements go out as broadcasts to guests who agreed to receive them, segmented by function or guest group.

  • Guide

Share venue pins, schedules and passes

Send the venue location, the programme and entry passes as messages and documents, so guests find everything in one thread on the day.

  • Guide

Answer guest questions fast with saved replies

The team answers repeat questions about parking, dress code and timings with saved replies, inserted with a short slash command, so nobody types the same answer fifty times.

  • Use case

Thank guests and ask for feedback

After the event, send a thank-you and a short feedback request. A problem reaches the organiser privately, and a happy client can be asked for a review.

Example conversation

An RSVP that reaches the list.

A guest gets the invitation, RSVPs in the chat, and receives the venue pin. The organiser's headcount updates without a phone call.

  • Broadcasts: Schedules and day-of changes reach every guest who opted in at once, segmented by function or guest group.
  • Shared Inbox: The whole planning team answers guests from one number, and every question has one owner during the busiest hours.
  • Journey Builder: RSVP forms, confirmations and day-before reminders run on their own for every guest.

Automation

RSVPs collect themselves.

A journey starts when a guest replies to an invitation. It sends the RSVP form, confirms the response, and sends the venue details to guests who are coming.

  1. Guest replies to the invitation
  2. Send the RSVP form
  3. Guest submits attendance and preferences
  4. Confirm and send the venue pin

Why run event communication on WhatsApp?

Because guests read it. An email invitation can sit unopened for days, and a printed card cannot tell anyone the venue gate has changed. A WhatsApp message is read within minutes, and guests can reply to it. For an Indian wedding with several functions, hundreds of guests and many changes, that speed matters.

One shared number also helps the planning team. Guests know which number to message, and every question reaches the team rather than one person’s phone.

How do RSVPs work in the chat?

Send the invitation with a short RSVP form inside the chat. The guest says whether they are coming, how many people, and any meal or travel preference. Every response lands in one place, so the planner has a reliable headcount for the caterer and the venue instead of a list pieced together from calls.

What should guests receive before the event?

Everything they need on the day, in one thread: the date and time, the venue pin, parking details, the dress code and the programme. Send a reminder the day before. If something changes, such as a delayed start or a different gate, one broadcast reaches every guest who opted in.

What about after the event?

Thank the guests, and ask the client how it went. A short feedback request after the event catches problems privately, and a happy client can be asked for a review. Keep messages to guests few and relevant. They agreed to hear about one event, not to join a mailing list.

How does a team handle guest questions on the day?

On the day of a big event, the same questions arrive by the dozen: where to park, which gate to use, when the ceremony starts. Saved replies let anyone on the team answer them in seconds, with a short slash command instead of typing. Questions that need a decision, such as a guest who has lost a pass or needs a wheelchair at the entrance, can be assigned to the one person who can sort them out.

What do WhatsApp's rules mean for event organisers and wedding planners?

  • Meta's Commerce Policies do not allow event services, including photography and party and wedding planning, to be offered through catalogues on the WhatsApp Business Platform. Quote and book your services in the conversation.
  • Meta's Commerce Policies allow only approved sellers to sell event tickets through commerce content. Free RSVPs and invitations are not ticket sales.
  • Meta requires opt-in from each person you message. A guest list from the host is not opt-in by itself. Ask the host to share your number or a QR code with guests, so guests message you first and agree to receive updates.

Checked against Meta's own policy pages on 21 October 2026: Meta Commerce Policies: Services, Meta Commerce Policies: Event tickets, WhatsApp Business Policy. Meta changes these rules from time to time, so read the current version before you start.

Questions event organisers and wedding planners ask about WhatsApp

Can guests RSVP on WhatsApp?

Yes. A WhatsApp Flow shows a short RSVP form inside the chat, with attendance, the number of guests and meal preferences. Every response reaches one list, so the headcount is accurate.

Can we send invitations to a guest list the host gives us?

Only to guests who agreed to receive WhatsApp messages from you. Meta requires opt-in from each person, and a list from the host is not opt-in by itself. Ask the host to share your number or a QR code, so guests message you first and agree to updates.

Can we sell event tickets on WhatsApp?

Meta's Commerce Policies allow only approved sellers to sell event tickets through commerce content. Free RSVPs and invitations are not sales, so they are not affected.

Can several planners answer guests from one number?

Yes. The whole team works from one number in the Baat shared inbox, on the web or the mobile app. Each guest conversation is assigned to one person, so nobody answers twice.

Can we send the venue location and schedule?

Yes. Send the venue pin, the programme and any entry pass as messages and documents in the chat, so guests can find them on the day without searching.
